The University’s UnIRP Migration Committee successfully concluded a three-day intensive workshop in Sagana, marking a significant milestone in the institution’s digital transformation journey. The workshop, held from 15th to 17th December, 2025, brought together representatives from key departments to validate systems, align workflows, and enhance institutional readiness ahead of the planned University-wide rollout in January 2026.
The session served not only as a technical review forum but also as a defining moment of collaboration, unity, and shared purpose. Members reflected on months of dedicated effort that began in February 2025, during which the committee reviewed modules, tested systems, engaged the service provider, and provided critical feedback to guide system customization.
Redesigning University Operations

The UnIRP migration goes beyond replacing legacy systems. It represents a comprehensive redesign of how the University operates, manages data, serves students, and supports staff. During the workshop, committee collectively reviewed key modules including CRM, Finance, Academics, Examinations, Human Resource Management, Student Portal, and Visitors Management, emphasizing their interconnectivity within a unified system.
This integrated approach clarified the path toward a smooth rollout and reinforced shared responsibility among departments, positioning the University for improved efficiency and service delivery.
Leadership Commends Progress and Calls for Collective Ownership
University leadership and the Migration Committee Chair underscored the strategic importance of the UnIRP migration while commending the commitment demonstrated by committee members throughout the process.
The Deputy Vice-Chancellor in charge of Administration, Planning and Institutional Advancement (APIA), Prof. Peter Kirira, described the migration as a critical investment in academic excellence, innovation, and institutional efficiency. He noted that the integrated system will strengthen data integrity, enhance decision-making, and improve service delivery across both academic and administrative functions.
Prof. Kirira emphasized that successful digital transformation is driven not only by technology but by people, culture, and accountability. He encouraged staff to embrace change, adopt new workflows, and work collaboratively across departments to fully realize the system’s benefits. He assured the committee of continued support from University Management as the University prepares for training, rollout, and stabilization in January 2026.

Echoing these sentiments, the Chairman of the Migration Committee Mr. Ayub Mwangi who is also Director of Teaching Programmes, praised members for their dedication since the start of the migration journey in February 2025. He described the Sagana workshop as a defining milestone that brought clarity, alignment, and confidence ahead of the rollout phase.
The Chairman highlighted key outcomes of the workshop, including module validation, documentation of outstanding issues, alignment of workflows, and strengthening internal capacity through the preparation of Trainers of Trainers. He emphasized that committee members now serve as ambassadors of change, expected to guide their departments, address concerns, and champion adoption of the new system.
Key Outcomes of the Workshop
The Sagana workshop recorded several major achievements:
- Validation of selected modules with gaps identified and solutions proposed
- Comprehensive documentation of pending issues and assignment of responsibilities
- Alignment of departmental workflows to enhance operational efficiency
- Strengthening of internal capacity through Trainers of Trainers
- Clear alignment on expectations and timelines leading to January 2026
Importantly, the workshop helped break down departmental silos, fostering a shared understanding, common language, and collective ownership of the migration process.
Preparing for the Next Phase
With the workshop concluded, focus now shifts to the next critical phase, which includes University-wide training, final validation and testing, parallel system running, and stabilization. The success of this phase will depend not only on the system itself but also on staff confidence, trust in data, and willingness to embrace new ways of working.

Members of the Migration Committee are now positioned as champions of the transformation, playing a central role in supporting adoption across the University.
Commitment to Excellence
Mr. Ayub, Chairman of the Migration Committee, extends his sincere appreciation to the University Management for their steadfast support, to the system provider for their collaborative efforts, and to the Migration Committee for their professionalism, resilience and unwavering dedication.
As the institution lays a digital foundation that will serve it for years to come, the UnIRP migration stands as a testament to the power of teamwork, innovation, and shared vision. The University looks forward to a successful rollout and a future defined by improved efficiency, integrity, and enhanced service delivery.
